# How to organize Shopify collections

> Organize Shopify collections the way shoppers browse: choose a structure, use tags and conditions, avoid empty collections, and link them in your menus.

Organize Shopify collections around how shoppers look for products, not how you stock them. Pick one main logic, usually product type or use, then give each group its own collection. Fill them with tags and conditions so new products sort themselves, and link the main collections in your menu.

## Which structure fits your store?

Start from the question a shopper has in mind on arrival. Most stores need one main structure and one or two extras.

| Structure | Works when shoppers think | Example for a candle store |
| --- | --- | --- |
| By product type | “I need one of these” | Jar candles, tea lights, refills |
| By use or occasion | “I need something for this moment” | Gifts, bedroom, weddings |
| By attribute | “I want this specific quality” | Citrus, woody, unscented |
| By offer | “What is new or cheaper?” | New in, sale |

The example store is invented. Test yours by asking whether a customer would use the same words. “Spring 2026 batch” is a word from your stockroom. “Gifts under $30” is a word from your customer.

## Manual or automatic?

Shopify is moving to a [collections model](https://help.shopify.com/en/manual/products/collections) where one collection can mix both approaches: products added automatically by conditions, products added by hand, and exclusions of either kind. Older help pages still mention separate manual and smart collections, so labels in your admin may differ.

- **Use conditions** for anything that follows a rule. A new product tagged `refill` joins the Refills collection on its own.
- **Add by hand** for an editorial selection with no rule, such as a gift edit.

Keep in mind that a product you add by hand stays in the collection until you remove it, even if it no longer fits the rule.

## How to set up tags before you start

Conditions work best on clean data. [Shopify’s conditions](https://help.shopify.com/en/manual/products/collections/conditions) can use title, type, vendor, category, tag, price, compare-at price, weight, stock and metafields.

- Decide your tags in a short list before you tag anything.
- Use one spelling. Write `gift` everywhere, never `gift` here and `gifts` there.
- Choose **Match all conditions** to narrow a collection and **Match any condition** to widen it.
- For a sale collection, use a condition on compare-at price.
- Price has no “or equal to” option. For products up to $100, use “is less than” $100.01.

## How to create a collection

These steps follow [Shopify’s guide](https://help.shopify.com/en/manual/products/collections/create-collection), as checked in November 2026.

1. Go to Products > Collections and click Add collection.
2. Add a title, a short description and, if your theme shows one, a featured image.
3. Under Products, use Add condition, Add products or both.
4. Set the sorting method.
5. Edit the search engine listing if you want a more specific title and description.
6. Click Save.
7. Add the collection to your menu. Shoppers will not find it otherwise.

A collection page can also rank in search, so a couple of useful sentences in its description is worth the time. Our [Shopify SEO guide](https://forgefont.com/blog/shopify-seo-guide) explains what else matters.

## Mistakes to avoid

- **Too many thin collections.** Ten collections with two products each make a small store look emptier.
- **Overlapping names.** If a shopper cannot tell “Essentials” from “Basics”, merge them.
- **Empty collections in menus.** Check again after you sell out or archive a product. Archived products stay in a collection, but customers cannot see them.
- **Deleting without checking.** Shopify also removes menu items that point to a deleted collection, so review your menu afterward.

Next, put your collections to work in your [navigation menus](https://forgefont.com/blog/shopify-navigation-menus).

## Skip the sorting

Forgefont creates 2 to 6 collections from your products, grouped the way shoppers look for them, by category or by use. Every product is in at least one collection, and you can edit everything in Shopify afterward. [Configure your store](https://forgefont.com/configurer) to see what is included in each plan.

## Frequently asked questions

### How many collections should a small store have?

There is no fixed number. Start with one collection per way a shopper would naturally browse, and only create one if it holds enough products to be worth opening. A store with only a few products may need just one or two.

### Can one product be in several collections?

Yes. A product can match the conditions of more than one collection. A tagged hat can sit in a Hats collection and also in a broader Accessories collection.

### What is the limit on conditions in a collection?

Shopify’s help center gives a maximum of 60 total conditions in a single collection, as checked in November 2026.
